The official Douglas County Clerk and Recorder page helps show the office split: the county Clerk and Recorder handles elections, motor vehicle, recording, marriage licenses, and Board clerk duties, not court case files.
That distinction is central for Douglas County records because a divorce decree, criminal disposition, civil judgment, or probate order is requested from the court clerk, while a recorded deed or marriage license is requested from the Recording Office.
What the Clerk of Court Does
The Douglas County Clerk of Court manages court filings and case records for District Court and County Court. District Court covers felony criminal cases, civil cases in any amount, domestic relations and divorce, juvenile, probate, mental health, and appeals from county court. County Court covers misdemeanors, traffic, felony advisements, small claims, evictions, and limited civil cases.
- Maintains court case files and routes public case-document requests.
- Supports dockets, hearing schedules, and case lookup through Judicial Branch channels.
- Receives local records and transcript requests through DouglasRecords@judicial.state.co.us.
- Provides courthouse counter, phone, mail, and records-request follow-up for case documents.
- Handles court payment and collections routing, including 23rdCollections@judicial.state.co.us and 720-437-6227 for collections.
- Processes filings through Colorado Courts E-Filing for attorneys and parties with appropriate access.
Court Records Access Channels
Douglas County court-record access is not a single database. Use the statewide docket search for hearing information, the Judicial Branch records request form for documents, the records email for local research and transcript requests, Colorado Courts E-Filing for case participants with access, and the courthouse counter when a case is older, restricted, sealed, or unclear.
For recorded documents, the Douglas County recording documents page is a county Clerk and Recorder source, not a court clerk source.
The recording page is useful as a boundary marker: recording fees and recorded-document searches do not control court-file copies, divorce decrees, or criminal dispositions.
How to Request a Certified Copy
Certified court copies are needed when another agency, court, employer licensing office, title company, or personal records process requires proof that the copy came from the court file. The request should identify the case and the exact document, such as a divorce decree, disposition, sentencing order, civil judgment, probate letters, guardianship order, or protection order.
- Identify whether the record is a court record or a county Clerk and Recorder record.
- Gather the case number if known; otherwise gather party names, case type, approximate filing date, and court location.
- Submit the Judicial Branch online records request form or email DouglasRecords@judicial.state.co.us with the requested document.
- Wait for the applicable court location to contact the requester with availability, restrictions, fees, and delivery options.
- Pay any applicable copy, certification, retrieval, transcript, or e-filing fees through the approved court process.
- Use the courthouse phone or in-person/mail address for older, sealed, restricted, or non-digitized matters.
Records Request Form Fields
The Judicial Branch online records request form is used for divorce decrees, case dispositions, and case- or person-specific court records. The court location contacts the requester after submission, so the request should include enough detail for the clerk to identify the file and evaluate access.
| Field | Required | Notes |
|---|---|---|
| Requester contact information | Likely required | Include email and phone so the court can follow up. |
| Court location | Likely required | Select the Douglas County court or applicable case location. |
| Case number | Optional but important | Exact case numbers reduce search and retrieval delays. |
| Party or person name | Likely required if no case number | Used for divorce decree, disposition, or person-specific searches. |
| Record requested | Required | Identify decree, disposition, certified order, docket, transcript, or case-file document. |
| Delivery and payment follow-up | Contact-based | Costs may apply; the court contacts the requester after review. |
Douglas County Court Clerk Fees
Colorado Judicial Branch fees apply to court filings, copies, scanning, retrieval, e-filing, and transcript duplication. These are different from Douglas County Clerk and Recorder recording fees.
| Item | Amount or Note |
|---|---|
| Copy fee for parties | $15 maximum copy fee for parties to a case. |
| Non-attorney e-filing fee | $12 per filing; not charged until accepted. |
| Scanning fee where e-filing is mandatory | $50 per document. |
| Tape/CD transcript duplication | $35. |
| Search/retrieval fee | Varies. |
| Protection-order forms or packets | No fee. |
| Recording flat fee for regular recorded document | $43 total beginning July 1, 2025; Clerk and Recorder fee, not court clerk fee. |
Forms, E-Filing, and Transcripts
The Judicial Branch self-help forms catalog includes criminal, family, probate, money, small claims, name change, protection order, sealing, and other case-type forms. Attorneys and parties with existing case access may use Colorado Courts E-Filing for filings and case-related submissions. Non-attorney e-filing fees are listed by the Judicial Branch and are charged only after a filing is accepted.
Transcript requests can be emailed to DouglasRecords@judicial.state.co.us or filed directly into an existing case by attorneys and parties with e-filing access. The requester should provide the case number, hearing date, judicial officer or division if known, and the transcript or recording needed.
Sealed and Restricted Court Records
Juvenile cases, sealed criminal records, adoption records, mental health cases, victim information, protected addresses, minor names, medical details, and financial account information can be restricted or redacted. The public cannot use the Clerk of Court to bypass a sealed or confidential record rule.
The official Colorado sealed-case search confirms only records automatically sealed under C.R.S. 13-3-117.
Sealed-case confirmation is narrow; other sealing paths, expungement processes, and restricted case types may require clerk review or a motion in the underlying case.
Records That Do Not Go to the Court Clerk
Marriage licenses and recorded land or legal documents go to the Douglas County Clerk and Recorder. County administrative CORA requests go through Douglas County's JustFOIA portal, excluding Sheriff records. Sheriff's reports, citations, jail records, and medical records use the Sheriff's CJRA/CORA process, not the Clerk of Court.
The official Douglas County CORA page is for county department and office public-records requests.
CORA routing helps when the target record is a county administrative record, but a filed court pleading or order remains a Judicial Branch record.
The manifest also includes the federal PACER lookup for the U.S. District Court for the District of Colorado.
PACER is separate from Douglas County Combined Courts and should be used only for federal District of Colorado matters.
